Join the Resources Management Office in the CMS Collaboration Experimental Physics Department, in the EP-CMS-ORG section and provide a seamless service to the many scientists coming from all over the world.

Your responsibilities

  • Monitor the payment of cost-of-living allowances and subsistence for associated members of personnel and follow up the related budget allocations.
  • Coordinate several matters related to contributions to the CMS collaboration, including the issuance of invoices for the full yearly budgets and liaison with representatives of Funding Agencies.
  • Provide administrative support for the management; analyse and follow-up of financial matters related to orders, invoices and payments of various types.
  • Prepare and maintain financial reports, web pages, shared files, and records to ensure accurate and up-to-date information.
  • Manage Project Associate and Experimental Associate contracts in compliance with CERN rules and procedures.
  • Provide administrative support and guidance to all categories of members of personnel, including the organisation of their arrival and departure formalities.
  • Organise, schedule and coordinate meetings, events and related administrative activities.
  • Assist in the preparation, monitoring, and follow-up of budgets requests and allocations, as well as Memoranda of Understanding and specific agreements with institutes joining the CMS collaboration.
  • Ensure the correct application of CERN rules, regulations and administrative procedures in a variety of situations.
  • Act as a back-up to the supervisor during period of absence.

Your profile

  • Experience in administrative and financial support professional with strong ability to manage orders, invoices, monitor incoming payments, and ensure compliance with organisational administrative procedures.
  • Strong ability to support large-scale scientific departments, experiments and multidisciplinary groups through efficient coordination and high-quality service delivery.
  • Experience managing processes related to special contributions, events, and operational activities while maintaining accurate information flow.
  • Excellent communication, organisational and collaborating skills to support international and multicultural scientific communities.
  • Demonstrates a proactive mindset, a commitment to continuous learning and professional growth, and the ability to deliver high-quality work in dynamic and demanding environments.
  • Demonstrated experience in an administrative/financial service in an international environment.
  • Bachelor's Degree or equivalent relevant experience in the field of of Finance and Procurement, Business Administration or a related field.

Your skills

  • Accounting control and analysis.
  • Financial reporting and analysis.
  • Use of office software packages: MS Office and MS Excel; Power Bi is a plus.
  • Customer service: : experience with coordinating meetings and events, a strong plus.
  • Use of and web content management system such as WordPress or similar, is an advantage.
  • Implementation of administrative processes and procedures.
  • Adapts quickly and resourcefully to shifting priorities and requirements.
  • Works conscientiously and reliably; delivers on promises.
  • Has a structured and organised approach towards work; is able to set priorities and plan tasks with results in mind.
  • Anticipates obstacles; assesses alternative solutions in order to have a fall-back plan.
  • Ensures that information, procedures and decisions are appropriately documented.
  • Spoken and written both English and French.
