Reporting to: Workstream lead (embedded in the MoD)
Remuneration: Fees are subject to negotiation in line with market rates
Indicative LOE/Time Frame: 18 days/month, till 31/08/2026 potentially extended to Full time
Job Type: Short-term Consultancy/ Full-time (potentially extended to Full time depending on workstream performance & funding availability)
Citizenship: Ukrainian (preferred)
Language Requirements: Fluency in Ukrainian and English required

Project Description:
Alinea International has been contracted by the UK Government to support defence reforms in Ukraine, working with civil society, Ukraine's Ministry of Defence, and other relevant stakeholders. The project is designed to support defence reforms in Ukraine with a view to making the sector more efficient and accountable.
About the Role:
The Coordinator should enable timely, efficient and transparent functioning of the thematic working groups of the NATO Strategic Procurement Review. To attain this objective the Coordinator is expected to engage and coordinate relevant national and international stakeholders, produce and maintain necessary administrative and reporting documentation, provide initial analytical support and engage SMEs, etc.
Key Responsibilities:
Contribute to the development, planning, analysis, evaluation and prioritization of deliverables, documents and requirements.
- Organization and coordination of working groups meetings
- Preparation of agendas, materials for meetings and minutes
- Maintaining a register of decisions, instructions and control points
- Monitoring the implementation of the assigned tasks and compliance with the agreed deadlines
- Preparation of official documents, letters and other working materials
- Maintenance and updating of other documentation
- Keeping records and systematizing working materials and documents
- Preparation of short information and status reports on the implementation of tasks
- Contribute to the overall SDPR and reforms planning & implementation
- Maintaining communication with representatives of public authorities, international partners and other interested parties on the above-mentioned tasks
Required Qualifications:
Education:
- Master's degree, preferably in relevant field: business administration, law, international relationships, etc.
- Training or certification in project management will be an advantage
Skills and experience:
Successful administrative, coordination or project management track record of at least 2 years with demonstrated ability to:
- Organize meetings, produce and maintain relevant documentation
- Work with a large amount of information and document flow
- Manage demanding situations and multitasking
- Diplomatic tact and ability to work across institutional contexts
- Strong skill set in MS Office is required (particularly in MS Word, Excel, Outlook and PowerPoint), knowledge of project/task management software will be an advantage
- Experience in public administration and/or international projects, in particular with a relevant focus, will be an advantage

- Fluency in Ukrainian
- English proficiency - equivalent to B1 or higher.
