Job Summary

The Policy Development Support Coordinator will support the day-to-day operations of ICANN's Supporting Organizations and Advisory Committees. Initial responsibilities are expected to include operational and administrative support for specific constituent groups within these community structures. Responsibilities may also involve participation in internal cross-functional teams to support cross-community or internal projects.

The position requires excellent organizational, communication, and coordination skills. The position will report to the Senior Manager, Community Operations, with expected dotted-line reporting to the staff leader of the relevant Supporting Organization or Advisory Committee to which this position may be assigned.

Key Responsibilities (Reasonable accommodations may be made to enable individuals with disabilities to perform the essential functions)

  • Support the governance, planning, and other administrative work of ICANN's Supporting Organizations and Advisory Committees as assigned
  • Assist with the creation, publication, and maintenance of agendas, presentations, procedures, manuals, and other process documentation and community records
  • Schedule and support teleconferences, webinars, meetings, and events, including tracking of action items, record keeping, and other follow-up work
  • Manage, administer, and maintain group calendars, mailing lists, shared documents, and other collaborative tools and materials
  • Enter and maintain data, reports, and analyses through ICANN's community engagement tools and platforms (e.g., Salesforce)
  • Coordinate with staff teams supporting other community groups to track multiple projects in parallel, and manage administrative and operational workflows to maximize efficiency
  • Other duties as assigned

Required Knowledge, Skills, and Abilities (KSAs)

  • Excellent organizational, coordination, and communication skills required
  • Knowledge of and experience with collaborative software and other tools required, including:
    • Google Suite (Docs, Forms, Sheets, and Slides)
    • Microsoft Office (Word, Excel, Outlook, PowerPoint)
    • Online conferencing tools (e.g., Zoom)
    • Instant messaging platforms (e.g., Slack, Signal)
  • Knowledge of Salesforce or other customer relationship management tools a plus
  • Detail-oriented, able to work independently and multitask effectively
  • Comfortable working in a highly diverse workforce and across multiple time zones
  • Strong interpersonal skills and able to work effectively in a multi-cultural, high-pressure environment
  • Able to handle confidential matters with discretion

Education and Experience Requirements

  • High school diploma or international equivalent required; associate's or bachelor's degree preferred
  • Minimum of 2 years' operational experience required; experience in customer support strongly preferred
  • Experience working in international organizations or multi-national corporations a plus

Languages

  • Fluency, both written and spoken, in English is required
  • ICANN is a global organization that values diversity; preference will be given to candidates with demonstrated skills in additional languages besides English

Working Conditions & Physical Requirements

  • International travel may be required to support ICANN related meetings as requested for lengths of 7-10 days per trip, approximately three times per year, likely on different continents
  • Ability to travel without restrictions globally, frequently and on limited notice is a must
  • Comfortable with an international work environment that requires availability at times outside normal business hours
  • Work is performed in a normal office environment with limited privacy and some exposure to background noise
  • While performing the duties of this job, the employee is frequently required to stand and walk; regularly required to sit; and frequently required to talk or hear; use hands and arms to reach, handle, or feel
  • Specific vision abilities required by this job include close vision, color vision, and ability to adjust focus
  • The employee may occasionally lift and/or move up to 25 pounds
